At TaxNova Advisors, we strive to offer transparent, efficient and professional outsourcing services, including accounting, taxation, staff augmentation and related solutions to US-based accounting firms, CPAs, EAs and other professionals. Our Refund Policy outlines the circumstances under which refunds are applicable, the procedures for requesting them and the timeframes for processing.

1. Scope of Policy
This Refund Policy applies to all clients who have engaged TaxNova Advisors for services including but not limited to:
- Tax Return Preparation and Review
- Bookkeeping and Accounting Services
- Virtual Staffing Solutions
- Back-office Administrative Support
- Advisory and Compliance Assistance
By engaging our services, you acknowledge and agree to the terms stated herein.
2. General Refund Conditions
Due to the nature of our professional services—many of which are custom, labor-intensive or time-bound—refunds are generally not provided once service delivery has begun or is completed. However, in certain specific scenarios, partial or full refunds may be applicable, as outlined below.
3. Eligibility for Refunds
A refund may be considered in the following cases:
a) Advance Payment for Uninitiated Services
If you have made a payment in advance and the assigned service has not yet commenced, you may request a full refund within three to five (3-5) working days of payment. No deductions will be applied.
b) Partial Refunds for Work in Progress
If a service is partially rendered and a client wishes to discontinue mid-way:
- A pro-rata refund may be issued based on the percentage of work not yet performed.
- A processing and administrative fee of 15% of the total invoiced amount may be deducted.
- Requests must be made within seven (7) calendar days from the payment date.
c) Duplicate Transactions or Overpayments
If you have been charged twice or made an erroneous excess payment:
- We will verify the transaction records.
- Upon confirmation, the excess amount will be refunded in full within 5 to 7 working days.
4. Non-Refundable Circumstances
Refunds will not be issued in the following cases:
- Services have already been delivered in full or work is substantially completed.
- Delay or dissatisfaction caused by incomplete, inaccurate or delayed data/documents from the client.
- Refund request made after seven (7) days from the date of payment or delivery.
- Custom staffing or offshore resource arrangements, once work begins.
- Refunds requested due to changes in client priorities, scope creep or internal restructuring.
5. Refund Request Process

- Your full name or firm name
- Invoice number and payment date
- Reason for refund
- Service description
- Any supporting evidence (e.g., proof of duplicate charge, screenshots)
Our operations team will acknowledge your request within 2 working days, and eligible refunds will be processed within 5 to 7 working days upon internal verification.
6. Mode of Refund
All refunds will be made to the original source of payment unless otherwise agreed in writing. We do not issue cash refunds. If the original payment method is no longer valid, alternate refund arrangements may be discussed.
7. Dispute Resolution & Chargebacks
We strongly encourage clients to contact us directly in case of dissatisfaction or concerns. Initiating a chargeback or dispute without allowing us an opportunity to resolve the issue may result in suspension or termination of service and legal recourse.
8. Policy Updates
This Refund Policy is subject to change without prior notice. The updated version will be posted on our website with the “Last Updated” date. Clients are advised to review this policy periodically.
